The Client Onboarding System System Guide, a dark cover with a harbour-teal arch, standing on a warm studio surface.

Engagements that go wrong in the middle were unclear at the start.

The agreement is signed and everyone is pleased. Then the client gets a folder link and a long questionnaire before anyone has explained who owns the relationship, and delivery starts while the team is still chasing access and answers. None of these failures is dramatic. Together they decide whether delivery starts on firm ground.

  • No single person owns the client start, so everyone assumes someone else followed up.
  • The client is asked for effort before being told what the process is.
  • Information is marked "received" although nobody has confirmed it is usable.
  • Decisions are made by people who turn out not to have the authority.
  • Kickoff is treated as the finish line while delivery is still chasing basics.

What the research shows

  • Service blueprinting maps a service from the customer's point of view, and is described as helping organizations identify failure points and agree how a service actually works.
  • In healthcare, hand-off failures often arise when sender and receiver expectations are out of balance. The guide uses this only as an analogy for any transfer of responsibility.

Sources: Bitner, Ostrom and Morgan; the Joint Commission; Palmatier et al. None of this research measures onboarding in small service businesses directly.

A client is ready for delivery when both sides know their roles and what to expect, the work has what it needs, and the delivery team has accepted the handoff.

The operating process: SIGNED → WELCOME → COLLECT → PREPARE → KICKOFF → HANDOFF

  1. SIGNED

Accept the signed engagement into onboarding, with a named owner and a usable record of what was agreed.

Output Onboarding Record with accepted ownership

  2. WELCOME

Orient the client, introduce their contact and set out what to expect before asking for effort.

Output Welcome sent; Expectations & Roles Record drafted

  3. COLLECT

Obtain the information delivery needs, once, and confirm that it is usable.

Output Accepted inputs in the Input Review Register

  4. PREPARE

Get the team and the client ready, so that kickoff time is spent on decisions.

    Output Passed Client Readiness Check

  5. KICKOFF

Agree the operating baseline: outcomes, roles, communication, first milestone and acceptance criteria.

Output Kickoff Decision Record; confirmed first milestone

  6. HANDOFF

Transfer a delivery-ready engagement to the delivery team, and close onboarding.

Output Delivery Handoff Record, marked Accepted

Every stage defines the same seven things: OWNER · INPUT · ACTION · OUTPUT · EVIDENCE · HANDOFF · CHECK.

Questions

Is this software?

No. The Client Onboarding System is an operating method: stages, ownership, records and checks, with the tools to run them. It runs in the tools you already use.

Do I need AvariHQ or the other Systems?

No. Each System can be used on its own, with any software. Where the series connects, the guide shows the handoff, and if you use AvariHQ the guide shows which features can hold each part.

What formats are the files?

The System Guide and the tools are PDFs with fillable fields, and they print cleanly. The operations workbook is an Excel spreadsheet. The client templates and internal records are editable Word documents.

Is this a printed book?

No. It is a digital download. The photography shows the System Guide printed, as a visualization; you receive the files and can print them yourself if you prefer.

Can I use it with my team and clients?

Yes, within one business. The license covers internal team use and use of the client-facing materials with your own clients. Resale, redistribution and sublicensing are not permitted.

What does it not cover?

It is an operating guide. It does not provide: legal advice, including contract wording or terms of service; privacy or data-protection advice; tax, accounting or regulatory advice, or any claim of compliance; software: the files do not send messages or create automations.

How much is it?

$149 as a one-time purchase.

One system. One business license.

Every AvariHQ System is licensed for use inside one business, including your team and your own clients.
